Privacy Policy

What we collect

• Your account: name, email address and profile photo, through our sign-in provider. If you sign in with Apple, Apple may share a private relay email instead of your real one.
• What you put in: businesses, tasks, comments, notes, projects and pages, work orders and their customers’ names and phone numbers, money entries, receipts and other files you attach, to-do lists, and the industry tools you turn on (jobs, estimates, vehicles, bids and similar records).
• Time clock: clock-in and clock-out times, and a clock-in photo when your business requires one. Crew members added by a manager are stored with the name, phone number and hourly rate the manager enters.
• Messages with the assistant: what you ask TaskBoard (in the app, by text, by Telegram or with Siri) and its replies, and a count of your AI requests each month for the monthly allowance.
• Linked services: if you link Telegram or your own Twilio account, or add your own SAM.gov or Anthropic API key, we store the link and any credentials, encrypted.
• Devices: push notification tokens for the browsers and iPhones where you turn notifications on, and your time zone so due dates are right.
• Billing: your Stripe customer and subscription IDs, or your App Store purchase records. We never see or store your full card number.
• Technical logs: our hosting provider keeps standard server logs (such as IP address and time of request) for security and to stop abuse.

We don’t use advertising or analytics trackers, and we don’t collect your location.

How we use it

• To run the service: show your businesses to you and the people you invite, sync between web and iPhone, and send the notifications and reminders you ask for.
• To answer you with the AI assistant and the AI features you use (estimates, bid summaries, spreadsheet imports).
• To send texts you ask us to send, such as a work-order link to a customer or a time clock link to a crew member, from your own Twilio number.
• To bill for extra businesses and keep accounts secure.
• To fix problems and answer support requests.

We don’t use your content to train AI models, and our AI provider doesn’t either.

Who processes data for us

We share data only with the services that run TaskBoard, and only what each needs:

• Clerk: sign-in and account security.
• Anthropic: the AI model behind the assistant and other AI features. It receives the messages and records those features need. If you add your own Anthropic key, those requests go through your Anthropic account.
• Stripe and Apple: payments.
• Twilio: texts you send from your own linked Twilio account, under your agreement with Twilio.
• Telegram: if you link it, messages between you and the TaskBoard bot.
• Apple Push Notification service and your browser’s push service: notifications.
• Our hosting and database providers: storing and serving the app and your data.
• NHTSA and SAM.gov: public government lookups. Only a vehicle’s VIN, or your bid search terms, are sent; never your personal details.

Inside TaskBoard, a business’s data is visible to its members according to their role. Links you choose to share (a work order, a to-do list, a time clock) show that one item to anyone who has the link, and you can turn them off at any time. We may disclose data if the law requires it.

Your choices

• See and change your information in the app at any time.
• Download a backup of any business you own from its Settings.
• Turn off notifications, unlink Telegram or Twilio, and stop sharing links whenever you like.
• Delete your account in Settings → Delete account. It takes effect immediately: businesses only you own are deleted with everything in them, and businesses shared with others pass to another owner. Web billing is cancelled; App Store subscriptions are managed in your Apple ID settings.
• Ask us anything, or ask for a copy or deletion of your data, at support@taskboard.my.

Keeping data safe and how long we keep it

Connections are encrypted, linked-service credentials are encrypted at rest, and access inside each business follows its roles. We keep your data while your account is open. Deleted data leaves our live systems right away and our backups within 30 days. The iPhone app keeps a copy of recent screens on your phone for up to 7 days so it opens without a connection; signing out removes it.

Children

TaskBoard is for businesses and isn’t meant for children under 13. We don’t knowingly collect their information.

Changes and contact

If we change this policy, we’ll update the date at the top, and tell you in the app for anything significant. Questions: support@taskboard.my.
